A successful SEO campaign is the perfect combination of all strategies. Whether you're working with on-page optimization, content development, social media, or link building, all of these factors contain equal value. When it comes to picking the most difficult SEO strategy, I will always give my vote to link building as this part is one of the most difficult, boring ,and time consuming strategies you can implement.

Yes, link building can be boring, tough, and time consuming. However, one person on the team can dive into link building and get their hands dirty to get the job done in order to produce effective and action-driven results for the business.
Many people use different tactics when it comes to link building. One of the famous and most effective techniques that almost every ethical SEO uses is to manually outreach to other webmasters and ask for a link. Although the rate of response can be low, implementing a few smart email writing tactics can actually increase the response rate.
In this post, I will discuss a few tactics that I have used in recent campaigns where I had to write good amount of manual email to a variety of influencers and bloggers to ask them for a link favor. I tried out a few different ideas and finally created a format that allowed me to write every email as personalized as possible, while saving a lot of my time.
Here I go!
Use catchy subject titles
The first section of an email everyone reads is the title. It is important to have a catchy title or else your email will soon be sent directly to the trash bin. Do not try to manipulate the reader by creating false title, but instead create a title that is interesting and captivating to act as a perfect lead-in for the valuable content of the email.
Some good examples of titles are:

Length of the email
This is an extremely important factor. Do not write a one-line email that clarifies nothing. You want to make sure your email's content delivers the intended actions and requests in a concise, yet inclusive, manner. Similarly, do not stuff the email with tons of unnecessary information. In either case, the recipient is likely to delete your message right away without even reading it (yeah, I can see you having a déjà-vu here).
A perfect email should have, more or less, two paragraphs that describe the solid reason for writing that email.
Use names
Not rocket science, but always a good reminder! Use the intended recipient's name while asking them for a favor, or do not expect them to reply back. The people you are writing to are busy just like you, and their to-do lists are already filled with tasks to accomplish. You better make your request sounds important, and that starts with using their name. How many times have you ignored emails addressed to ‘Hello Webmaster,’ or similar? Plenty.
Take a little step forward, do your research, search for their names, and use them! After all, it is all in the name!

The first paragraph
If you are writing an email of 100 words or more, it is important that your first paragraph should be appealing, smart, and engaging enough to encourage your reader to happily continue their journey through the end of the message. I've tried different formats and ideas for emails, but what stuck best with my campaign was to dedicate the entire first paragraph to the receiver.
This may sound like a lot of work, but checking the social profiles and doing some background on your recipient can tell you an enormous amount about a person. Ultimately, this will let you to talk to him or her more comfortably.
Example:
Hello Jason, It was great to see your interview and find out more about you on ‘Alessio Madeyski’s’ post. After reading your advice on SEO, I believe you are the right person to ask for an opinion on my research. OR Hello Ann, I am your continuous reader of your different blogs that include Daily SEO tips, my blog guest, and other platforms where you write. I think you are one of the best bloggers who has a great style of writing, and your ability to put down complex problems on paper make them easy to read and comprehend. |
The second paragraph
Don’t drag, just say it!
Now that you've hit the second paragraph, you've made it to the ground floor of your email. If you are going to drag your point out a little longer, then you will probably lose the interest of the recipient. Try to be direct in the second paragraph and let the reader know what you want from him or her. Try to explain your objective in few lines and move towards the end of your note.
Example:
I actually took a step forward to help a specific niche outside of SEO (as much is already happening in the SEO bubble). In order to do that, I researched and compiled a list of 3K+ link prospects which any travel website/blog can use to get authority links. OR Although I'm advanced in SEO knowledge, I am planning to start writing and sharing my views to the blogging world and collect feedback that will help me grow as a better professional. |
The ending note
Now that you have done your job in describing your objective behind the email, it is time to sum it up nicely in a courteous way.
I would love if you could take two minutes to look over the data and pass along your feedback.

Why I prefer this format
I've been working on improving my emails for quite some time now, and this pitch and format has worked for me almost every time. Here are a few reasons why I think this email format is sure to get you a better rate of response:
- You are pushing the limit of personalization, so you are leaving less space for the recipient to think about ignoring the email.
- This format is not short enough to look lousy, but not lengthy enough to bore or overwhelm the reader.
- Emails that contain a personal touch from the start of the title through the end of the note are set up for a reply.
- The email contains no dragging content, so there is less of a chance that the reader will get frustrated while reading.
- The first paragraph is powerful and dedicated to receiver, which makes them happy and encourages them to read the email through the end.
Obviously the rate of response is not likely to be 100 percent, but I have found that using this format increases the rate of response for different niches.

I completely agree, as with most email marketing, you want to let them know early on what is in it for them. This doesn't mean over promising or being too salesy. It just means responding in an honest and personalized way about why a link to your site adds value for them.
Hmm... Matt I think you misunderstood my post. When sending a stranger a post you are asking them to do you a favor. How many people do favors for random people? Whether you kiss ass in an email or not. Honesty and personalization is not enough. Honesty + Personalization + Value = WIN!
Ok I agree and if you look at the post examples, one of the example is targeting the guest posting…I do agree that not much people will help you unless you offer them something that is in their favor… and I guess I have covered that part! But I think I should have focused more on that.

Good to see you included the link removal request example in your post. It pays to think carefully about the way you word the email before sending those, if for no other reason than to be a decent human being.
As with everything in life, a little bit of TAGFEE goes a long way.
Whether your long term goal is to earn a link or to get one removed, being respectful and asking nicely is always the best approach.

No matter if you are asking for a link or requesting for a removal I think respect and generousness is always the key! If you are going to ask with no respect either you will see no response or a response which will most likely hurt your reputation as a whole.
I think being nice is one of the factors that encourage the recipient to reply to the email.

Cheers for this, looking at my spreadsheet of bloggers I'd say I get a pretty good response rate.
It's pretty common sense with mentioning names, but I honestly believe that what some people say about delving 100% into their blog and finding out absolutely everything about the blogger (I've read posts saying that they'd find out where a blogger lives, eats, how much they spend etc.. - creepy?) is a bit of a waste of time.
It's all about the law of averages, your bound to get some no responses so as long as you just accept this and move onto the next one I think in the long term you're going to end up with more quality bloggers who actually want to work with you.
I usually find that 4 short sentences spaced out does the trick:
1. Opening ego-boost - 'I came across blog.com and acknowledged it as one of the top travel sites on the net due to its quality editorial and professional layout, I particularly liked your post on blah blah blah'
2. Explain your intentions - 'this is a quick email to investigate the possibility of working with you to create mutually beneficial content, we have a team of experts in the finance industry and noticed that you hadn't written about this subject yet'
3. Explain what you're going to do
4. Closing sentence about your company
Not saying that this will work for everyone, but it gets me a pretty good response rate.
Finding out everything about the blogger will eat lot of time… I guess reading a para on the about page or an about me on their social profile tells a lot about them. Remember the point is to save time while being personalized to every recipient.

I have had two interns in for the summer (one male one female) , both sending out identical emails which contained most of the elements highlighted above interesting one had twice as many responses from the same volume of emails. (can you guess which intern it was ?) I just thought this was luck for the first month until we decided to test the only real variable (gender), I set the male up with a email account under the name of the female and increased responses 40 %. By the looks of things in action sports people are much more likely to responded to females :-)

Haaha! This is interesting… well as I never tried this before, but I can consider testing this point but personally I don’t think many people especially in busy niches like Real Estate, Travel and more will have the same impact as sports… but as I said I never tried this so I can be wrong on this.

You are right Karan! We are living in a world where people love to be short, simple and personal in terms of email and this was one of the the main reasons to craft this format. I think the rate of response will be better from the given format is because it contain personalization, limit on worlds and no dragging!

I respect those people who add subject line properly and according to emails.
If the subject line is talking about "x" and you email me about "y" than you will be in my hit list.
+1 short and to the point always has the best response for us. Not a one liner, but a short paragraph is best.
I think it depends on who you are targeting but personally I like short emails with one maybe two lines nothing more.
As a blogger, I receive 4/5 emails per week asking if they can guest blog and if the email if a few paragraphs I usually close it because I can't be bothered to listen to how I'm getting "content all absolutely free!". Shorter emails to the point I respond more positively too.
This of course if just my personal opinion but with actual outreach I tend to have a better response from the short one liners.
Thanks Craig, I really respect your opinion as I was one of those who believe one liner works great but the point is, in most niches I have worked… people are really busy and prefer not to respond to emails until they know you… while working for those niches I realize that dedicating few lines to the recipient will encourage him or her to respond because he/she thinks that you are serious because you have proved by writing something personal about them.
Again, I am not asking to drag the email in to several paragraphs but 2 paras are more than enough!

I tend to get between 10 and 20% response rate for short, personal emails with what I would consider catchy titles. im not sure if this is a good or a bad figure.
I think the rate of response is also very much depends upon industry to industry… but in general 20% is not at all a bad number in my opinion….
With my last campaign the rate of response was between 35 to 45% but it was for IT industry…

Quickie tech note - avoid introducing your email with "Dear Joe". That'll earn you immediate spam points in Microsoft Outlook's spam filter. So will including both an exclamation mark and a $ sign within the same email.

Being person is important for successful email exchanges 100%, but not being phoney is critical. Honesty + Personalization + Value = WIN! Yes I agree.
I have wrote emails for years to top executives when in corporate sales. Its the same thing; I am requesting something from them so I better make them like me and feel compelled to act due to some specific benefit or emotional response. Humour can work for me. I am Canadian.
Personally, I like a 1 line opening, a 2 sentence paragraph and a strong closing sentence with my compelling statement.
A very powerful tact is to understand the persons learning style. People respond to language very differently: see/hear/feel. If you know their particular type, the writing can be very powerful. As such, you tailor your language around the keywords they will relate to. ie I want you to see, I want you to hear, I want you to attend my workshop- kinda funny talking to SEOs about keywords.

I agree about how people response to the language you used in the email… I think while outreaching one should know whom he is outreaching to! If he/she is influencers or industry leader the words will be more polite and over all email should sound like you are asking for the favor….
I think email should be short and descriptive because in the busy schedules nobody like read the paragraphs mails. you should write your topic point to point.

Completely agree about the fact it should be short, snappy and to the point.
We're all getting so, so many emails that anything we do get needs to be quickly scannable so a reader can decide whether to action it or trash it ;-)
Love your personal approach as well. An email that's just 'dear Sir or Madam,' or 'Dear Bloggers,' is just dire. It screams 'bulk assembly line style' mass emailing and nobody's a fan of that.

On oxxalis.com we beleive that in web emails, the shorter the story the most efficient it is. 3 paragraphs seem to be good. Like this scheme : 1) Hello 2) fact 3) call to action.

We do a lot of email marketing here at Elevate SEM and I agree with the things that you have said in this article. One thing I will add though is the importance of the visual aspect of the email. We get a lot of incoming emails that have to do with other companies pitching us (especially from India based companies)...and I have to say, they all look the same. Using graphics, charts, logos in the signature, etc are all very important tools in email marketing and link building (in my opinion). Overall - the more effort that goes into the email, the more credible the source will appear. Simple, to the point, and visually appealing.
Thank you Scott for your time but I guess most emails disable graphics like images and videos. I believe when pitching (business to business) the emails should be to the point and simple but I agree the emails should not look similar, not even twice… the point of personalized email comes from the fact that every email will be very different from the other and every recipient will feel that this email is for that person only.

I agree with Bryant-Jaquez, a female name gives an extra possibility for positive response, interestingly email from female names are mostly sent to male email ids and the most interesting fact is that now this funda has become unhidden, so most of the female ids are fake they are actually created by male SEO professionals only.
Now regarding the actual purpose of the blog, thanks for sharing the idea there are few points which will helpful for me; to be frank enough I have not implemented them while sending backlink request email.
Good Piece! Another tip, If you're going to name the person to make the approach more personal, don't use pre-formatted text from your members or shoppers profile page. IOW if they spell their name in lowercase letters, i.e. "todd", make sure that the person is properly addressed "Todd". It looks so unprofessional and cheesy when marketers take the easy way out by copying/pasting text or use software that auto-populates fields. Get professional about it!

1, Do not let the title/subject be blank, otherwise, your email will go into the junk mail box at a rate of 99%.
2, Do not use too simple and short subject like "Hi" Hello. Also too easy to be considered as spam.
For example, If you are looking for a manufacturer to custom plastic parts, you can use a title like:
plastic parts manufacturing
custom molded plastic parts
Or specific part like: Tooling for plastic dustbin
If you are writing to us, you can also mention our company name in the title, like:
To Respon Plastic Industrial Co., Ltd.

I believe when you outreach to someone especially for a link so you have to be smart, short and simple... whereas after 2 or 3 emails of communication you can design the structure of your email which is comfortable for you as well as for him!

Moosa, this keep-your-email-short-simple-and-articulate strategy is something that most of us know, but we forget it at the times we do it. Things like giving an email a personal touch should rather become our habit, and after writing one we should ask ourselves whether we'll reply to a proposal/request like this -- all our queries will get answered.

Dear Moosa, all of the above makes sense - no doubt about it. I have read a lot of articles on how to construct a perfect link request, but all of them seem to take it for granted that the recipient is someone who might pass for one of the top 100 SEOMoz users. I mean, there are a lot of people out there who have been given the task of exchanging links with no knowledge of SEO, general internet knowledge or English itself.
Dealing with those people (a vast percentage of whom work from India - no offense, that's just how thing are these days, there are still a great amount of good seo's from down there), sending them fancy emails won't do any good because they English is so poor, that the usage of some not very common words would simply stump them and they won't be able to understand you.
My recommendation in this case: try to be as simple as possible and try to recognize those people in order not waste your precious time.
If you are into link exchange, I think you know who I am talking about here. If not, then type in Google
"webmaster id list" and try to talk to those people on the email list.

Although I am not directly from India but I do agree that there are many low quality people out there and I seriously believe that more awareness from known sources (SEOmoz Blog is one of them) will make a difference and at least we will be able to deduce the percentage to a higher extent.
When you are sending emails to influencer or someone who is at least in top 100 on SEOmoz (I am #29 and I can tell you it’s not a peanut) you should have to have knowledge about SEO as well as about the person, to craft the email in such a way that you get a response!
A top tip when sending link email to influencer: offer them something that is interesting to them as well as in favor of the community (white hat).
Having read your reply I think we both agree that you should be aware of who you send your message to and differentiate the time and effort spent on creating a message depending on what type of person you are dealing with and whether your personal approach will be appreciated.

I always love to write e-mail in concise manner and love to point out my main points that I want to clear the preceding person. So I always avoid paragraphs and try to make points as shorts and easily understandable to receiver.
I always start my E-mail by the person name.

Good one Moosa...Very inspirational! I'd always prefer shorter mails as the first 5 seconds spent by the reader is really critical. A couple of short paragraphs holds good if we are following up with the client after a cold call. Twitter could be well blamed for spoiling people to limit their reading as short as possible but expect more in that short study. Rand's latest blog post on using Headsmacking Titles really holds good for emails as well.

But Dear Moosa when we search sites for link exchange request then possibility is very-very low to find name of webmaster because generally people write only email address. Then how to write the name of webmaster. Blog is personal thing here anyone can find the blogger name much easy.

Really good post. I agree that link building is often very boring and tedious but I do so with a purpose. I don't send out as many requests as I think I should just because If I don't have something of value to give them then I do not see why they want to pass on their link juice. When I do request I always try to bring some value to the table. Free graphic or website help many times will do the trick.

I think your idea was figured out the moment that e-mail marketing started to spiral out of control, almost any e-mail marketeer uses this form for their e-mails. Following up on this, do you think there's a limitation to it's usage? For example, if I receive a price check or link exchange request from a visitor, should I also use this type of e-mail, or is that too intrusive?
to be honest if you are receiving the emails then you have the advantage point... you didn't necessarily need to follow the format but for sending emails this is a good idea!

As an SEO, I try my best to get into the webmaster's heart with such requests.
As a Webmaster, I ignore even the most personalized messages sometimes, because I feel they are just mass messages in disguise.
One thing is for sure - if the deal sounds good to me, I'll reply even to automated messages. If the deal doesn't fit me, I won't answer the most heartwarming mail :-\
Obviously, I mean if you are following the email that is loveable to the recipient but does not have any fair deal then there is no chance of response… so value is first thing! You should have to have a value in your emails…
This Moosa guy is really good. He's gotten me in a position where I just can't say no to him! :P

I often use less than proper capitalization and extremely short email content (but one that clearly demonstrates a level of effort) for emails - the impression is that a human wrote it. Canned emails are much easier to make lengthy and incorporate overly appropriate grammar.

Thanks for the post Moosa! Your advice could definitely be used to form a really strong template email. One thing I've found useful is to set up a good profile page on my site - bio, experience, writing samples etc. and link to it from the email. That way I can keep emails short and sweet but offer more information without the web master having to request.
Good Point actually. I also use my About.me profile to offer more info to gain the trust of the recipient.

my mom always said to me to be nice to people .. that is a rule You can apply anywhere and it is rewarding. And i like the 2 paragraphs approach too. lets go put into practise now.
